Applicant/Employee Privacy Policy

Transcat, Inc., its affiliates and subsidiaries (the “Company”), takes the privacy of your personal information seriously.  This Application/Employee Privacy Policy outlines the ways in which we collect, use, store, and disclose your personal and sensitive personal information, in accordance with applicable laws and regulations (“Personal Information”) in the employment context, including in relation to employment applicants.  This policy applies to all individuals who have submitted applications with the Company, are currently employed by the Company, as well as former employees whose Personal Information is still retained by the Company.  This notice is provided under Cal. Civ. Code § 1798.100, et seq.

Personal Information We Collect Concerning Applicants and Employees

The chart below lists the categories of Personal Information that we collect from applicants and employees, the purposes of collection, and to whom we disclose such Personal Information.  Please note that because this list is comprehensive, it may include types of Personal Information that we collect and share about people other than yourself.  For example, we may collect Social Security numbers from employees, but not from applicants.Employment-Related Information

Generally, we share this information with IT and website service providers necessary for the Company to maintain and secure its networks and website.

We may use audio and video recordings for training and quality control purposes.  We may record virtual meetings for our business purposes.

We may use video recordings to protect our clients, our employees, our premises and otherwise deter theft and fraud.   

We may share audio and video recordings only with third parties necessary to our use and processing of such recordings.  We may share virtual meeting recordings with business partners that participated in the meeting.We retain the categories of information identified above for as long as they are needed for a business purpose; for example, we retain contact information for current and former Transcat customers, so we can serve them better.

Your location

You, Company IT equipment, other Company equipment, such as key fobs, and self-service mobile applications 

To locate you and/or Company devices; to secure our premises, our networks, and protect our employees; to allow self-service access to features such as time and attendance within the Company’s payroll system..

We share location information only with third parties necessary to our use and processing of such information.

Employment-related information regarding employees.  This includes professional information like past employment.

You, your references; background checks; publicly available sources like LinkedIn

We use this information to facilitate your employment with the Company.  

We share employment information with third parties necessary for the processing of such information, such as payroll and benefits providers.  We also share employment information with governmental agencies as required by law.  

 

We do not sell or share applicant or employee Personal Information for targeted advertising, and have not done so in the preceding twelve (12) months. 

In addition to sharing your information with authorized personnel within the Company on a need-to-know basis to fulfill job responsibilities, we may disclose your Personal Information as required by law, court order, or to protect legitimate business interests.  Disclosure of Personal Information may also include third party vendors providing services related to employment, such as payroll, benefits plans, administrators and others necessary for our administration of the employment and application process, subject to confidentiality agreements.

The Company reserves the right to transfer any information we have about you in the event we sell or transfer all or a portion of our business or assets.  Should such a sale or transfer occur, we will make reasonable efforts to require that the transferee use Personal Information collected concerning applicants and employees in a manner that is consistent with this policy.

We may collect the following categories of Sensitive Personal Information: personal data revealing racial or ethnic origin, religious beliefs, data concerning health, data concerning a natural person’s sexual orientation, and veteran status information.  We use these solely for reporting purposes, and to the extent required by law.  

Security

We engage in reasonable efforts to protect the confidentiality, integrity, availability and security of Personal Information that we process by employing industry standard security measures to protect electronic data, such as firewalls and access controls.  We regularly review and update our security practices to ensure the protection of Personal Information.  However, because information transferred over the Internet is not absolutely secure, we cannot guarantee the security of your information.

If You Are Located Outside of the United States

If you are located outside of the United States, please be aware that your Personal Information may be transferred to, stored, and processed in the United States, where our servers are located, and our central database is operated.  Applicable data protection laws may not be as comprehensive as those in the country where you are located.  By using our Site, you consent to your Personal Information concerning your use of the Site being transferred to our systems and to the systems of those third parties with whom we share it as described herein.

Your Choices 

Your privacy rights in relation to your Personal Information are available on our website Privacy Policy. Also, for California employees, you may have other rights, for example the right to know what Personal Information we collected about you, the right to correct inaccurate personal information that we collected about you, the right to request and obtain information about, or copies of, your Personal Information that we process, where we obtained your information, the business or commercial purpose for collecting your information, and the third parties with whom your information is shared. You may also be able to request a copy of Personal Information you have provided to us in a reasonably portable format. Your rights may also include the ability to tell us not to sell your information, if we do so. Lastly, you may ask us to delete Personal Information that we have collected from you, depending on the situation and applicable laws. Retention of Information

We retain Personal Information for as long as necessary to fulfill the purposes outlined in this policy, considering legal obligations and business needs.

Non-Discrimination

We will not discriminate against you for exercising any of your privacy rights under applicable law.

Regular Reviews

We will review and may update this policy periodically. Any significant changes will be communicated through appropriate channels.
